  • Working experience - 4 - 6 yrs
    • Act on behalf of the CEO in communicating to the staff on high level meetings both internally and externally.
    • Co ordinate meetings and strategic activities.
    • Communicates directly with the Board members on behalf of the CEO
    • Draft letters, reports, proposals, coordinate oral and written communication  with the prospects.
    • Supports CEO in her external commitments.
    • Prioritize multiple tasks seamlessly with excellent attention to detail.
    • Manage diaries and organizing meetings and appointments, often controlling access to the reporting CEO.
    • Follow up with the tasks assignment by the CEO
    • Managing daily, weekly, monthly agenda activities
    • Preparing and disseminating memos and documents
    • Assist colleagues and support them with planning and distributing information
    • Point of information for all queries regarding the CEO
    • Miscellaneous tasks to support the CEO
    • Preliminary drafting of correspondences on the CEO's behalf,
    • Act as a first point of contact for the CEO, dealing with correspondences and phone calls
    • Remind the CEO/executive of important tasks and deadlines
    • Type, compiling and preparing reports, presentations and correspondence
    • Reading, monitoring and responding to the CEO's email,
    • Answer calls and respond affably with the office staff competently,
    • Planning and organizing meetings for the CEO,
    • Travel with the CEO and dictating meetings,
    • Improving office systems, preparing presentations, managing and reviewing filing and office systems,
    • Screening phone calls, enquiries and requests, and handling them.
    • Meeting and greeting visitors at all levels of seniority
    • Dealing with incoming email, faxes and post, often corresponding on behalf of the CEO
    • Carrying out background research and presenting findings to the CEO
    • Producing documents, briefing papers, reports and presentations to the CEO
    • Taking minutes of the meetings attended by the CEO and circulating it to the Board/members who attended the meeting.
    • Acting as the point of contact between the CEO and clients
    • Handling CEO’s delegated tasks and queries appropriately

    BEHAVIOURIAL SKILLS

    • Proven working experience as secretary or admin assistant.
    • Familiarity with the organization and optimization techniques
    • High degrees of Organizational skills and the ability to multitask
    • Discretion and trustworthiness: you will often be party of confidential information
    • Flexibility and adaptability
    • Excellent oral and written communication skills
    • The ability to be proactive and take the initiative
    • Tact and diplomacy
    • A knowledge of standard software packages and the ability to learn company-specific software if required.
    • Possess a welcoming and greeting nature.
    • Strong interpersonal skills and the ability to build relationships with the stakeholders.
    • Excellent writing, editing, grammatical, organizational skills.
    • Proficiency in Windows, MS Office.
